Privacy Policy

Confidentiality is part of what our clients buy. This policy explains, in plain English, what information we collect, how we use and protect it, and the choices you have.

Who we are and what this covers

Matterhorn Coaches provides executive and career coaching, mentoring, and talent development to individuals, teams and organizations. This policy covers the information we handle across three places: this website (matterhorncoaches.com), our coaching engagements themselves, and the secure assessment platform we use to deliver assessments and hold engagement records. It applies to visitors, prospective clients, clients, and the participants in corporate engagements.

Information we collect

Information you give us. When you contact us, request a conversation, or join our mailing list, we collect what you provide: typically your name, email address, and anything you choose to tell us about your situation. When you book a call, our scheduling provider collects the details needed to set up the meeting.

Coaching and assessment information. If you become a client (or participate in a corporate engagement), we collect the information needed to coach you well: your responses to our assessment instruments and any third-party psychometric instruments we administer, notes and records from coaching sessions, goals and development plans, and progress over the engagement. This is the most sensitive information we hold, and the protections below are built around it.

Information collected automatically. Like most websites, we may collect basic technical information (such as pages visited and general device type) through privacy-respecting analytics, used only in aggregate to understand how the site is used. We keep this to a minimum and do not use it to build profiles of individuals.

How we use information

We use information to: respond to your inquiries and schedule conversations; deliver coaching, mentoring and assessment services; prepare for and follow up on sessions; measure progress against the goals agreed in an engagement; operate, secure and improve our website and platform; send occasional writing from our Library if you have opted in (you can unsubscribe at any time); and meet legal and professional obligations. We do not sell your personal information, and we do not use your coaching or assessment information for advertising.

Coaching confidentiality

This deserves its own section, because it is the foundation of our practice. What is said in individual coaching stays between the coachee and the coaching team. Where an engagement is sponsored by an employer or organization, the sponsor receives themes and progress, never transcripts, session notes, or individual assessment responses, unless the coachee agrees otherwise in writing. We set these boundaries explicitly at the start of every corporate engagement so that everyone can trust the process.

The assessment platform

Assessments are delivered through a secure platform rather than by email. Each client receives a personal, unique link that can be revoked and re-issued; responses are saved as you work and stored as part of your engagement record, visible to you and your coaching team. The platform is operated for us by a technology provider under contractual confidentiality and data-protection obligations; the data in it belongs to Matterhorn and its clients, not to the provider. When a client asks to be forgotten, their platform records can be erased, and an audit trail of that erasure is kept.

How we share information

We share personal information only with: service providers who help us operate (website hosting, scheduling, form handling, email, and the assessment platform described above), each limited to what they need and bound to protect it; engagement sponsors, strictly within the themes-and-progress boundary described under Coaching confidentiality; professional advisers (such as lawyers or accountants) where necessary; and authorities, if required by law, in which case we will tell you unless we are legally prevented from doing so. If Matterhorn is ever part of a merger or acquisition, information would transfer subject to this policy's protections.

How long we keep it

We keep inquiry information for as long as needed to respond and follow up. We keep client engagement records (including assessment responses) for the duration of the engagement and a reasonable period afterward, so that returning clients can build on prior work, unless you ask us to delete them sooner. We keep mailing-list information until you unsubscribe. When information is no longer needed, we delete it.

How we protect it

Information is encrypted in transit; access is limited to the coaches and staff who need it for your engagement; assessment links are personal, revocable and single-use; and records live in the platform rather than scattered across inboxes and laptops. No system is perfectly secure, but if a breach ever affects your personal information, we will notify you promptly and tell you what happened and what we are doing about it.

Your rights and choices

You can ask us at any time to: access the personal information we hold about you; correct it; delete it; or stop sending you marketing email (every mailing includes an unsubscribe link, and "unsubscribe" by reply always works). Depending on where you live, including California and the EU/UK, you may have additional statutory rights; we honor reasonable requests regardless of where you live. To exercise any of these, email us at the address below. We will respond within 30 days and will never treat you differently for asking.

International visitors

We are based in the United States and process information here. If you contact us from outside the US, your information will be transferred to and processed in the US, where privacy laws may differ from those in your country. We apply the protections in this policy to everyone, wherever they are.

Children

Our services and website are for professionals and are not directed to anyone under 18. We do not knowingly collect information from children.

Third-party services and links

Scheduling runs on a third-party booking service, and our site links out to services such as LinkedIn and published articles. Those services have their own privacy policies, which apply when you use them.

Changes to this policy

If we change this policy, we will post the new version here with an updated date. For material changes affecting client data, we will tell active clients directly.
